Agency profitability calculator
Most "HighLevel agency" revenue projections leave out the two biggest costs: your time per client and usage. This one doesn't. Defaults are examples, not benchmarks, so replace them with your own numbers.
Notes on the inputs
- Starter has 3 sub-accounts and no rebilling. The calculator warns you and treats usage as absorbed. [HighLevel pricing page; checked 2026-10-25] [Rebilling, Reselling and Wallets Explained, updated 2026-09-30; checked 2026-10-25]
- "Rebilled at cost" means the client's sub-account wallet pays HighLevel's rate. You make nothing on it but you also don't carry it. On Unlimited this is the default sensible setting.
- Markup only exists on Agency Pro. If markup is your only reason to upgrade, check the extra $200/month against what markup actually earns at your client count.
- Hours per client is the number most agency spreadsheets set to zero. Even 3–5 hours a month at a modest contractor rate is often the biggest cost line.
Three things to try
- Set usage mode to "You absorb it" and raise usage to $60 to see what one SMS-heavy client does to margin.
- Set the plan to Agency Pro and usage to markup at 1.5x. Compare annual profit with Unlimited at cost.
- Halve the retainer and double the clients. Margin usually drops because hours scale with clients and the plan price doesn't.
